Instead of fighting the everlasting
battle between you and the clock, and stressing out, take a short break and
breathe. We created short list of time management and productivity tips for you.
Use whichever feels right for you, and you can relate to.
1. Time runs at the same for all of
us. Value your time and other people will do the same. Use it wisely, and for
the things that are truly worth it.
2. Who and what drains your time? Identify
anything that’s causing a regular, repeated drag or drain of your time. Is it
technology, systems, workflow or people, for example. One by one, take these
things and fix them or limit them to free up more time. Then, use the time you
do have to get more if the important things done in a focused, energised way.
3. If you
think about it, you will realize that you can do a lot in half an hour. Next time
you have only 30 minutes until your next meeting or appointment don’t just hover
over your desk, but get to work. And finish as many mini tasks as you can.
4. Don’t underestimate
or overestimate how long something will take you. Don’t force a schedule you
can’t keep. Instead, set real, and more flexible time expectations, and ask
yourself. Are you trying to force things to happen in a certain time frame?
Could you let it go and let things happen in their own time instead?
5. If you’re procrastinating, rather
than getting frustrated or annoyed with the work you have, simply ask yourself
why you are doing it. Are you scared of the tasks ahead? Are they too
difficult, too easy maybe, or simply boring? Are you tired? We end up wasting a
lot of energy and time on the things we’re putting off.
6. If you’re using social media for
business, use a tool to schedule your posts. You don’t have to be there for
each post you make, especially if it’s likely to get you distracted, and you
spend longer than you want.
7. When
you get under a lot of stress and pressure, and you’re tight for time, ignore
email completely and focus on the job. Make this a habit, even if it is only 15
or 30 minutes at a time. There’s plenty of time to replay to email.
8. Take
mini breaks. You need those 5minute breaks to recharge and refocus. Eat an
apple, or go make a fresh pot of coffee. Take lengthy breaks away from work at
the weekend, in the evening and on holiday to help you stay productive long
term.
9. Do you
work better when you’re under pressure? For example, do you feel more motivated
to get started on a project the night before it’s due in, or do you prefer to
work ahead of time and complete it before the deadline? Decide what works for
you, and stick to that. Either set yourself more deadlines, or make sure you
leave plenty of time to plan and deliver on time.
10. Set an
end time to your working day and don’t let work fill your entire evening. Better
yet, set two times. The ideal time for leaving the office, and the latest time
that you won’t work past.
11. Review how your spend your time
at the end of the week, every week on the same day, and find out exactly where
your time is going. Using the result of your time audit, think about how you
can reschedule your days and where you might redistribute a little of your
time. What can you do better if you spend little more time spent on it? How
much time do you waste on things you don’t really enjoy or value? Can you skip
them or shorten the time?
Once you master spending your time
better, and more productively you will find yourself with more time on your
hands!
